Handling of Personal Information

Yappli, Inc. (hereinafter referred to as "the Company") handles personal information obtained by the Company as follows.

1. Purpose of Use

The Company will use personal information within the scope of the following purposes.

• Personal information related to the Company’s business partners (or their officers and employees in the case of corporate clients) of the Company’s services for businesses.
  • For necessary business communications, performance of transactions, related after-sales services, and managing business partner information.
  • For sales and marketing activities, such as advertising and providing information about products, services, campaigns, etc. of the Company and its subsidiary (subsidiary: Yappli FoodConnect, Inc.; together with the Company, hereinafter referred to as the "Yappli Group") by means of direct mail, email, etc.
  • To respond to requests for information materials, trial versions, and other inquiries.
  • To improve the Yappli Group’s products and services and to consider new services.
  • To survey and analyze the use of the Yappli Group’s products and services.
  • To investigate, identify, and prevent fraud, cyber attacks, and other illegal activities.
• Personal information related to participants of seminars and other events (in the case of corporate participants, their officers and employees).
  • To conduct seminars and other events and to manage attendee information.
  • To use for sales and marketing activities, such as advertising and providing information about the Company's products, services, campaigns, etc. by means of direct mail, email, etc.
  • To respond to inquiries from attendees.
  • To provide personal information to parties that conduct seminars jointly with the Company, and to conduct seminars, manage attendee information, and respond to inquiries from attendees.
• Personal information related to customers who use the Company’s services for individuals.
  • To provide customers with the most relevant services.
  • To respond to inquiries from customers.
  • To use for sales and marketing activities, such as advertising and providing information about the Company's products, services, campaigns, etc. by means of direct mail, email, etc.
  • To improve the Company’s services and to consider new services offered by the Company.
  • To survey and analyze the use of the Company’s services.
  • To investigate, identify, and prevent fraud, cyber attacks, and other illegal activities.
  • For other purposes as notified or announced in relation to individual services.
  Note: The Company may use the TrueDepth API provided by Apple Inc. to obtain information about customers’ facial expressions. The acquired information will be used only for real-time facial expression tracking to the extent necessary to provide the functions of the Company’s services, and this information will not be stored on the Company’s servers or provided to third parties.
• Personal information related to employees and former employees.
  • For necessary business communications, payment of compensation, provision of employee benefits, health management, and other employment and personnel management purposes.
• Personal information related to applicants for employment.
  • To contact applicants regarding selection and hiring decisions, and for other uses necessary for the Company's recruitment activities and preparations for onboarding when a decision is made to hire a new employee.
• Personal information handled by the Company through outsourcing
  • Personal information entrusted to the Company in connection with outsourced work is used solely within the scope of the purpose of performing the outsourced work, based on the contract with the outsourcing party. The Company does not have authority over such personal information as "retained personal data."

2. Provision of Personal Information to Third Parties

The Company will not provide personal information to third parties without the prior consent of the individual, except in the following cases.

• When the Company receives a court ruling or order to disclose personal information in accordance with laws and regulations, or receives an official inquiry from a public agency such as the police, based on laws and regulations governing investigative authority.
• When disclosure is necessary for the protection of the life, body, or property of an individual, and it is difficult to obtain the consent of the individual.
• When it is particularly necessary to improve public health or to promote the healthy growth of children, and it is difficult to obtain the consent of the customer.
• Cases in which the handling of personal information is necessary for cooperating with a national agency, a local government, or a party entrusted by either a national agency or local government to execute affairs prescribed by law, and in which obtaining the customer's consent is likely to impede the execution of the relevant affairs.
• When providing personal data (excluding information that can identify a specific individual on its own) to advertising distributors and other third parties, for the purpose of ad delivery, performance measurement, and analysis.
• Other cases permitted under the Act on the Protection of Personal Information.

3. Outsourcing the Handling of Personal Information

• When the Company outsources the handling of personal information.
  The Company may outsource all or part of the Company’s operations to external third parties (including cloud service providers located outside of Japan) to the extent necessary to achieve its purposes of use, and the Company may outsource the handling of personal information to such third parties to the extent necessary to achieve its purposes of use. In such cases, the Company will exercise necessary and appropriate supervision over the outsourced party.
  The country/region of the Company's overseas outsourcing partners is the United States of America. For information on the country’s personal information protection system, please refer to the "Survey on Systems for the Protection of Personal Information in Foreign Countries" on the website of the Personal Information Protection Commission. The Company has confirmed that its overseas outsourcing partners comply with the laws and regulations concerning personal information protection in the corresponding country.
• When the Company is entrusted.
  The Company may be entrusted with the handling of personal information held by the Company’s business partners to the extent necessary to provide the Company’s services to those partners. In such cases, the Company will handle the entrusted personal information only to the extent necessary to perform the entrusted work, and will not use the information beyond the extent necessary to perform the relevant work.

4. Joint Use of Personal Information

The Company may jointly use personal information obtained from customers, etc., as follows.

• Items of personal information to be jointly used
  • Personal information provided by customers, such as company name, department, job title, address, name, gender, date of birth, and contact information
• Scope of parties jointly using the information
  • The Yappli Group
• Purposes of use by the parties using the information
  • In addition to sales activities and contract-related purposes necessary for the business conducted by the joint users above, personal information will be used for purposes such as the following.
    • To verify identity when registering an account or logging in to the Company's services, and to provide and operate the Company's services
    • To respond to customer inquiries
    • To send emails regarding new features, updates, campaigns, etc. of services customers are using, and to introduce other services offered by the Company
    • For market research and the development of new products and services
    • To provide information regarding events, seminars, campaigns, etc.
    • To provide information regarding products and services offered
    • To identify customers who violate the terms of use or attempt to use the service for fraudulent or improper purposes, and to refuse their use of the service
    • To allow customers to view, change, or delete their own registered information and to view the use status of their information
    • To bill customers for the use of paid services
    • Purposes incidental to the above purposes of use
  • Name and address of the party responsible for managing the personal data, and, in the case of a corporation, the name of its representative

5. Measures Taken for Security Management

The Company will take necessary and appropriate security control measures to prevent leakage, loss, or damage of personal information. Please also refer to the "Information Security Measures" separately established by the Company for more information on the security control measures taken by the Company.

6. Voluntary Provision of Personal Information

When customers provide personal information to the Company for use of the Company’s services, the provision of personal information is voluntary and is not forced by the Company.
However, please note in advance that the Company may not be able to provide appropriate services if necessary information is not provided.

7. Use of Access Logs and Cookies

• Acquisition of Access Logs.

  The Company collects access logs as analytical information for the purpose of improving convenience and service quality for customers accessing the Company’s website. However, this does not include information that can identify individual customers, such as names or addresses.

• Use of Cookies.

  The Company may send cookies to the web browsers of customers who access the Company’s website. Cookies are used to provide efficient services to repeat visitors, but they do not collect personally identifiable information. If you do not wish to accept cookies, you can do so by changing your browser settings.

8. Location Information

“Yappli Port”, an app provided by the Company, may acquire location information of the device using the app. The location information obtained by the Company is used, to the extent necessary, to deliver location-based content (for example, but not limited to, push notifications of area-specific information), and to provide other functions of "Yappli Port".

9. Requests for Disclosure, etc. of Personal Information

• When an individual requests notification of the purpose of use, disclosure, correction, addition, or deletion of content, suspension of use, erasure, suspension of provision to third parties, or disclosure of records of provision to third parties (collectively, "disclosure, etc.") regarding the Company's retained personal data, the Company will conduct an internal investigation into the personal information and respond without delay.
  Note: However, depending on the nature of the request, the Company may not be able to respond to the disclosure, etc. In such cases, the Company will respond with the reason.
• To make a request for disclosure, etc., please follow the procedure below and submit your request by mail. Please note that the Company may not be able to accept your request if there are any deficiencies or missing items in the details of your request. Please note that a handling fee of JPY1,100 per request, payable in postage stamps, will be charged for requests for disclosure of personal information or notification of the purpose of use.
  Personal information received via the "Application for Disclosure of Personal Information" will only be used to respond to the inquiry and will not be used for any other purpose.

  • When a request is made by the person in question.

    To make a request for disclosure, please prepare the following documents and send them by recorded delivery mail.

    • Application for Disclosure of Personal Information Form.
    • Identification document
      A copy of a document that verifies the person's name and current address, such as a driver's license, passport, or health insurance card.

  • When a representative makes a request.

    If the person making the request for disclosure, etc. is a legal representative or an agent appointed by the person in question, please enclose the following documents in addition to the documents listed in the preceding section.

    (In the case of a legal representative)

    • Documents confirming the right of legal representation.
    • A copy of a family register, or in the case of a person with parental authority, a copy of a health insurance card listing dependents is also acceptable.
    • Documents to verify the identity of the legal representative.
    • A copy of a document such as a driver's license, passport, or health insurance card that verifies the name and current address of the representative.

    (In the case of an agent appointed by the person in question)

    • Power of attorney (document attached to the Application for Disclosure of Personal Information Form).
    • A document to verify the identity of the delegated agent.
    • A copy of a document that verifies the name and current address of the representative, such as a driver's license, passport, or health insurance card.
